Running a webinar on Zoom sounds simple. Send out a link, open the meeting and start talking - right?
When you’re hosting a professional webinar with multiple presenters joining from different locations and an external audience representing a wide range of organisations, there’s quite a bit more to think about.
Rural Solutions is a specialist consultancy working across the rural, land and property sectors, supporting businesses, landowners and organisations with advice, planning and development.
For its latest online webinar, Rural Solutions brought together a broad external audience, including customers, clients, suppliers, construction companies and professionals from a variety of other organisations.
Stream7 provided professional Zoom webinar support, managing the technical production behind the scenes so the Rural Solutions team could concentrate on delivering the event.
The webinar took place on 16 September 2026, with Rural Solutions hosting from its headquarters in Skipton and four presenters contributing from different locations
Rural Solutions wanted to use its existing Zoom account rather than introduce an entirely new platform or complicated broadcast setup. The priority was making sure the technology they already had worked smoothly and professionally for an external-facing event.
Our role was to provide the technical expertise behind the webinar - from setting everything up correctly beforehand to managing the live Zoom webinar production on the day.
Platforms like Zoom have made it incredibly easy to organise online meetings, but there’s a big difference between joining a video call with a handful of colleagues and running a professional webinar for an external audience.
As the audience and number of presenters grow, so does the number of things that need to be considered.
Are all the presenters connected and ready? Are their cameras, microphones and internet connections working properly? Who needs to be muted and when? What happens if a presenter loses connection? Are screen shares ready? What can the audience see? Who is managing questions and attendees while the presentation is taking place?
There are also the webinar settings themselves, including permissions, presenter access, recordings, attendee controls and making sure the right person or content is visible at the right time.
And because it’s live, all of this needs to happen seamlessly while the presenters continue with the webinar.
Individually, these can seem like relatively small details. When you’re live in front of customers, suppliers and other external stakeholders, they become much more important.
That’s where professional webinar technical support can make a significant difference.
Stream7 provided full technical support before and during the Rural Solutions webinar.
We worked within the client’s existing Zoom account, using Zoom’s built-in functionality rather than introducing additional platforms or unnecessary equipment.
Our technician handled the setup and managed the live webinar behind the scenes, coordinating the four presenters and overseeing the technical elements of the production as they happened.
This meant the Rural Solutions team could concentrate on their content and the people watching rather than worrying about what button needed pressing next.
Sometimes professional webinar production isn’t about adding more technology. It’s about making sure the technology you already have is being used effectively.
One of the biggest benefits of having professional Zoom webinar support wasn’t something the online audience could see.
The Rural Solutions team commented on how calm our approach was and how much more relaxed they felt throughout the webinar.
Previously, managing everything themselves had been difficult. When you’re simultaneously presenting, thinking about your content and trying to manage the technical side of a live webinar, even a relatively straightforward problem can quickly become stressful.
Having an experienced technician managing everything behind the scenes removed that pressure.
That’s an important part of the service we provide. Our technicians are used to working in live environments and dealing with issues without creating unnecessary disruption.
If something needs changing, a presenter is late joining, somebody loses connection or a setting isn’t behaving as expected, there is someone there whose sole focus is sorting it.
The presenters can focus on presenting.
The webinar brought together a varied external audience from different businesses and sectors, including customers, clients, suppliers, construction companies and other professionals.
Feedback from attendees following the webinar was positive, while the Rural Solutions team were pleased with how smoothly the event had been managed.
There was no elaborate studio, specialist streaming platform or large production setup required. The webinar was delivered through Zoom using the presenters’ own devices.
What made the difference was having professional technical support managing the platform and production.
For a small internal meeting, probably not.
But there’s a point where an online meeting becomes an event.
When you have an external audience, several presenters to coordinate and stakeholders watching, asking one of the speakers to manage the technology at the same time can add unnecessary pressure.
Professional webinar support means somebody else can take responsibility for the technical details.
This can include:
It’s not necessarily about making the production more complicated. In many cases, it’s about making the experience simpler for everyone involved.
This project is also a good example of why professional virtual event production doesn’t always have to mean investing in lots of new technology.
Rural Solutions already had Zoom. Their presenters already had suitable devices. The platform was capable of delivering what they needed.
What they needed was someone who knew how to manage it.
Rather than over-engineering the solution, we worked with their existing setup and provided the level of webinar technical support appropriate for the event.
For organisations looking to run customer webinars, supplier events, panel discussions, training sessions or other external online events, this can be a really cost-effective way to improve the experience without moving away from familiar technology.
Not every webinar needs to look like a television broadcast.
For some clients, professional Zoom webinar support is exactly what’s required. For others, it can be the starting point for developing their online events further.
That could mean introducing professional cameras and microphones, branded graphics, additional content, multiple locations, dedicated streaming platforms or complete virtual event production.
For Rural Solutions, this webinar was the start of that journey.
Their existing Zoom setup was suitable for what they needed, while leaving plenty of opportunities to develop their webinar production in the future.
Most importantly, their team didn’t have to spend the event worrying about the technology.
They could focus on delivering a professional webinar to their external audience. We focused on making sure everything behind the scenes worked.
