Midcounties Co-operative asked Stream7 to support the delivery of their Annual General Meeting (AGM) with a fully hybrid production. The event brought together an in-room audience of around 70 people, alongside remote attendees accessing the meeting via Lumi – a specialist platform for virtual and hybrid AGMs.
The goal was to create an interactive and inclusive experience that allowed all attendees to watch, participate and vote in real time – whether they were physically present or joining from home. The venue? A regular open-plan office at the Warwick HQ, which needed to be transformed into a broadcast-ready space that looked and felt professional, without disrupting the day-to-day use of the building.
We worked closely with Midcounties Co-operative’ internal communications and facilities teams, as well as the team at Lumi, to ensure a seamless experience across all touchpoints. Lumi provided the online platform, which we streamed to over RTMP, and supplied real-time data feeds for audience questions and voting results.
Our technical setup enabled us to receive these feeds and present them live on-screen during the meeting – meaning remote attendees could engage just as actively as those in the room. This close integration ensured the hybrid format didn’t compromise participation, transparency or functionality.
To make the event a success, our team designed and implemented a full technical solution, including:
Vision, audio and lighting systems to support in-person attendees and speakers
Streaming infrastructure, sending a live feed to Lumi via RTMP for remote viewing
Data integration with Lumi’s Q&A and voting tools – including real-time presentation of results on-screen
Multi-camera setup with live switching and on-screen graphics for a professional finish
Use of existing branded backdrops to reinforce Midcounties Co-operative’ identity
Installation of a hearing loop for deaf and hard-of-hearing attendees
On-site operator support and live event control, ensuring everything ran to plan
We used compact, discreet equipment and carefully considered the layout of the office space to avoid disruption to the venue and maintain a clean, corporate look.
Unlike many AGMs, this one wasn’t held in a hotel or conference centre – and that was a deliberate choice. Our challenge was to turn a working office into a fully functional event environment.
Using scalable AV kit and adaptable layouts, we created a space that delivered crisp audio, sharp visuals, and a comfortable setup for speakers and guests. The result was a space that felt like a professional meeting room, not a makeshift studio.
The meeting ran smoothly, with both in-room and remote participants actively engaged. Thanks to Lumi’s platform and our integration, remote attendees could ask questions and take part in live votes, with results shown instantly on screen.
Accessibility was a key priority. Our hearing loop installation supported those using hearing aids, and the system was integrated into both the in-room experience and the livestream – making sure all attendees could follow and contribute fully.
