The UKEGS Conference is a significant annual meeting for glaucoma specialists, bringing together clinicians, researchers and industry partners from across the UK. For the 2025 event in Edinburgh, the organising team were looking for a technical partner who could support a multi day programme with complex AV requirements, reliable capture for on demand content, and digital tools that would make networking, resource sharing and session attendance more intuitive for delegates.
Stream7 were appointed to deliver a full production service, digital infrastructure and content capture throughout the event.
First impressions matter at a conference of this size, particularly one with a tight programme and separate morning streams. We delivered a complete pre event registration system that handled delegate sign ups, session preferences and exhibitor data. When delegates arrived onsite, they checked in using simple QR codes which connected directly to our system. This enabled immediate badge printing and ensured that all attendee details were accurate across the app, CPD tracking and exhibitor tools.
Every badge was produced using sustainable materials and paired with eco friendly lanyards. The organisers were keen to reduce waste at the event and this proved a simple but visible way to do so. Our setup meant that only the badges required were printed, avoiding unnecessary pre printed stock and keeping the environmental impact to a minimum.
The UKEGS team wanted a digital experience that would enhance the event rather than distract from it. We built a bespoke event app and online platform that brought registration data, programme information, networking tools and exhibitor resources into one place.
Delegates could scan one another’s badges during the event to connect, store details and build their contact list. This proved especially valuable during poster sessions, coffee breaks and the exhibition, where clinicians typically meet potential collaborators for the first time.
Exhibitors benefited from QR based interactions too. Delegates could scan a code on each stand to instantly download product sheets, clinical resources or research information, allowing exhibitors to minimise printed materials. The platform also hosted a virtual exhibitor booth which provided additional visibility and made resources accessible long after the event closed.
The platform included a CPD certification system that tracked individual attendance across all sessions. Each delegate’s participation triggered personalised CPD certificates, removing the need for manual checking and allowing attendees to download their certificates as soon as the event concluded.
The conference featured a full programme of lectures, panel sessions and clinical presentations, and UKEGS wanted to make sure nothing was lost once the doors closed.
We recorded the entire event in high definition, capturing every session for on demand viewing. This meant delegates could revisit complex presentations, catch up on anything they missed and continue learning long after the event ended. It also created an extended digital resource for the organisers, increasing the value and longevity of the programme.
Our team delivered complete AV production for the conference, managing projection, lighting, audio systems and content playback throughout the venue. With several spaces running at once, it was essential that every room offered a consistent, high quality experience for speakers and delegates.
Using Tricaster Vizion, we were able to send multiple live feeds across the venue’s screens, ensuring each strand of the programme had the correct content and branding at the right time. Tricaster Vizion also allowed us to record clean feeds for on demand use while simultaneously distributing vision mixes to different spaces. This level of control kept the event running smoothly and ensured transitions between sessions were seamless.
Speakers were supported throughout with confidence monitors, technician operated slides, microphones suited to each format and clear communication between rooms. From keynote presentations to detailed clinical talks, the production was designed to let presenters focus entirely on their content.
