Live, hybrid and virtual events are full of moving parts – and things don’t always go to plan. From dropped connections and dodgy audio to last-minute content changes, technical issues are one of the biggest stress factors for event organisers. But with the right team, preparation, and kit in place, many of these problems can be solved quickly – or even avoided altogether.
At Stream7, we specialise in technical event production. That means we handle all the behind-the-scenes magic to make sure your events look great, sound perfect and run seamlessly – whether you’re in the room or watching online. Here are five of the most common technical challenges we face on events, and how we solve them.
1. Unstable Internet Connections
The challenge
When it comes to hybrid and virtual events, a stable internet connection is non-negotiable. If your livestream buffers, drops out or lags, your audience could miss key moments – and you risk losing engagement altogether. Relying on venue Wi-Fi is often a gamble, especially in busy city centres, old buildings or shared office spaces.
How we solve it
We never depend on a single internet source. Instead, we use bonded internet solutions like Dejero or Teradek, which combine multiple network connections (4G, 5G, Ethernet) into one resilient, high-bandwidth feed. We also conduct site visits and testing before every event, so we can recommend upgrades or alternatives. And we always have a backup plan – whether that’s a second bonded unit, a Starlink system, or a mobile fallback.
2. Audio Quality Issues
The challenge
Poor audio is one of the fastest ways to lose an audience. Whether they’re in the room or watching from home, if they can’t hear clearly – or are bombarded by echo, feedback or background noise – they’ll tune out fast. This is especially tricky for hybrid events, where both in-room and remote audiences need different mixes.
How we solve it
We treat audio as a priority, not an afterthought. Our sound engineers spec the right microphones, mixers and speakers for each event space and audience size. We use separate mixes for the in-room PA system and the livestream, so everyone gets the best possible sound. We also use real-time monitoring tools, noise gates and EQ settings to optimise clarity and avoid distortion – whether someone’s speaking softly or presenting in a noisy environment.
3. Poor On-Screen Visuals
The challenge
There’s nothing worse than slides that are unreadable, videos that buffer, or visuals that look amateur. Whether you’re using screens in the venue or streaming to an online audience, your content needs to look slick, sharp and on-brand.
How we solve it
Our team works with clients in advance to prep and optimise all presentation content. We create custom graphics packs, branded lower-thirds, animated stings and holding slides in-house – ensuring consistency across every touchpoint. We also use Vizrt and Blackmagic production gear to scale and switch content seamlessly between screen types – from LED walls and projection to online video platforms. Everything is tested and previewed before the event goes live.
4. Delays and Technical Hiccups On The Day
The challenge
Events don’t wait – and when things go wrong mid-show, it’s not always easy to fix them without disrupting the flow. Late starts, missed cues, frozen feeds or hardware failure can shake audience confidence and throw off your schedule.
How we solve it
We build in time for rehearsals, line checks and run-throughs so we can catch any issues early. Our producers work from detailed cue sheets and call sheets, just like in live television. We carry backup kit for everything critical – from cables and converters to full playback machines. And we always have a dedicated show-caller overseeing transitions, videos, and presenter cues to keep everything running smoothly from start to finish.
5. Lack of Integration Between Platforms and Tech
The challenge
Events today use a mix of tools and platforms – from presentation software and audience interaction tools to video conferencing systems and event apps. If these platforms don’t integrate properly, it can lead to awkward delays, technical failures or a disjointed experience.
How we solve it
We provide end-to-end technical production, meaning we take responsibility for how every element connects – cameras, screens, lighting, sound, streaming platforms, and interactivity tools. When clients use third-party apps or platforms, we test compatibility ahead of time and advise on best practices. We’re also used to working with agencies and in-house teams, offering white-label solutions where needed and acting as a technical lead to ensure everything connects as it should.
Seamless Events Start with Solid Tech
